Arrival-day message

Message templateFor guestsSend: Morning of the arrival dayBy HostCalmlyUpdated Oct 30, 2026How we write templatesReport an error

Short answer

Send an arrival-day message on the morning guests arrive. Keep it short. Confirm the check-in time, point back to the entry steps, remind them about parking and give a contact for problems. Its job is to make the earlier instructions easy to find, not to repeat everything.

Good morning [Guest name], Today's the day. Check-in at [Rental name] starts at [Check-in time]. A few quick reminders: - Entry: [Entry instructions] - Parking: [Parking] - Wi-Fi: [Wi-Fi name] (password: [Wi-Fi password]) If you're running late or your plans change, just reply here so I know when to expect you. If you have any trouble getting in, contact [Emergency contact]. Travel safely. I hope it's an easy trip. [Your name]

When to send it

Send it mid-morning on arrival day, in the guest's arrival time zone. Guests often look for details while they're on the road, and a fresh message puts everything at the top of the thread. For early check-in times, send it the evening before instead.

Tips

  • Keep it to reminders. If your entry steps are long, replace them with one line pointing back to the check-in message.
  • Inviting guests to share a rough arrival time helps if you meet them in person or need to time the final touches.
  • Don't make an arrival time sound required for self check-in. "Reply if plans change" is enough for most stays.
  • Keep it in the platform thread so all the details live in one place.

Frequently asked questions

Do I need an arrival day message if I already sent check-in instructions?

It's optional, but it helps. A short reminder saves guests from scrolling back through the thread while they travel.

What time should I send it?

Mid-morning in the guest's arrival time zone usually works. Early enough to help with planning, late enough not to wake anyone.

Should I ask guests what time they'll arrive?

You can invite them to share it, but keep it optional. A simple request to reply if plans change covers most situations.
