Airbnb check-in instructions message template

Message templateFor guestsSend: 24–48 hours before arrivalBy HostCalmlyUpdated Oct 30, 2026How we write templatesReport an error

Short answer

Send check-in instructions 24 to 48 hours before arrival. The message should confirm the check-in time, give step-by-step entry instructions, list the Wi-Fi name and password, explain parking, and say who to contact if something goes wrong. Put the steps in arrival order so guests can follow them at the door.

When to send it

Send it 24 to 48 hours before arrival. That's close enough that guests are actively planning the trip, and early enough to clear up any confusion before they're standing at the door. If a guest books at the last minute, send it right after the booking confirmation.

Tips

  • Write the entry steps in the order a guest experiences them: where to park, which door, how the lock works.
  • Test the lock and the code on the day you send this. A wrong or expired code is a hard way to start a stay.
  • Copy the Wi-Fi name and password exactly as they appear on the router, including capital letters.
  • Airbnb's Pricing and payment transparency (opens in a new tab) policy bars links in messages that take people off the platform. It doesn't specifically address guidebook links, so if you're unsure, paste the key details into the message instead of linking.

Frequently asked questions

When should I send check-in instructions?

24 to 48 hours before arrival works for most stays. For same-day or next-day bookings, send them as soon as the booking is confirmed.

Should the door code go in the check-in message?

Yes, if this is the message guests will open on arrival. If your lock allows it, use a code unique to each stay that works only during the reservation.

What if a guest can't get in?

Give a contact who can answer quickly on arrival day, and keep your phone close around check-in time. A backup option, such as a lockbox, helps if a smart lock fails.
