How much does vacation rental software really cost per year?
Short answer
The real first-year cost of hosting software is twelve months of the base plan for your actual listing count, plus add-ons, setup fees, payment processing and at least one month of overlap with your current tool. Compare every option on that same total, then weigh what each total actually gets you.
Software pricing pages show the monthly number. What you pay over a year is often quite different. To compare tools fairly, put each one on the same basis: the total you would pay in the first twelve months, for your actual number of listings and the features you would actually use.
What to include
Per-listing pricing
Many tools charge per listing, per unit or per property. Some have a minimum monthly charge, so one listing can cost the same as two. Others charge a flat rate up to a listing limit. Price your real count, and your count a year from now if you plan to add one.
Monthly vs annual billing
Annual billing is often discounted, but you pay up front and may not get a refund if you leave early. Monthly costs more per month but lets you leave. If you are not sure the tool fits, the monthly price for the first few months can be cheaper than an annual plan you abandon.
Add-ons
Messaging automation, dynamic pricing, guidebooks, cleaner scheduling, smart lock integration and owner reports are sometimes included and sometimes sold separately. List each feature you need, and check whether it is in the base plan.
Setup and onboarding fees
Some tools charge a one-time setup fee, or a fee for assisted onboarding. Include it in year one.
Payment processing
If the tool processes payments for direct bookings, it may charge a percentage per transaction. That cost grows with bookings, so estimate it from your expected direct-booking revenue, not from the pricing page alone.
Overlap during a switch
When you move from one tool to another, you usually pay for both for a while. Old bookings may still need the old tool, and you will want time to test the new one. Plan for at least one month of overlap.
Prices, plans and included features change often. Take the numbers from the vendor's own pricing page on the day you compare, save a copy and confirm anything unclear with their sales team in writing.
How to compare
- List the features you need, and mark which are must-have.
- For each tool, find the base plan that includes all must-haves.
- Calculate twelve months of base cost for your listing count, on the billing term you would pick.
- Add any add-ons, setup fees and one-time charges.
- Add estimated payment processing, if you take direct bookings through the tool.
- Add overlap months with your current tool.
- Compare the totals, then compare what each total actually gets you.
A worked example
These prices are hypothetical and do not describe any real product. A host with 2 listings compares two tools.
Tool A: $25 per listing per month, billed monthly. Messaging included. Pricing add-on is $10 per listing per month. No setup fee. Year one: 2 × $25 × 12 = $600, plus 2 × $10 × 12 = $240, for $840.
Tool B: $40 per month flat for up to 3 listings, billed annually, so $480 up front. Pricing included. One-time setup fee of $99. Year one: $480 + $99 = $579.
Both need one month of overlap with the host's current tool, which costs $30 a month. Add $30 to each. Tool A totals $870. Tool B totals $609. Tool B is cheaper, but the host pays $480 up front and is committed for the year. If Tool B does not work out after two months, the money already paid may not come back. That trade-off is the real decision.

Is annual billing cheaper than monthly for hosting software?
Annual billing is often discounted, but you pay up front and may not get a refund if you leave early. If you are not sure a tool fits, paying monthly for the first few months can cost less than an annual plan you abandon.
What hidden costs should I include when comparing hosting software?
Include any add-ons you need that are not in the base plan, such as messaging automation, dynamic pricing or smart lock integration. Also add one-time setup or onboarding fees, payment processing on direct bookings and the months you pay for two tools during a switch.
How long should I plan to pay for two tools when switching software?
Plan for at least one month of overlap. Old bookings may still need the old tool, and you will want time to test the new one before you cancel.
