Guest messaging across Airbnb and Vrbo: native tools or one inbox?
Short answer
For one to five homes on Airbnb and Vrbo, each platform's own scheduled templates can usually cover the standard messages: booking confirmation, check-in details and checkout steps. One shared inbox mainly helps once keeping two sets of templates in step, or checking two apps, starts causing wrong details or missed replies. If the right messages go out on time today, you don't need to change anything.
Who this fits
This page is for hosts with one to five homes listed on both Airbnb and Vrbo who send guest messages themselves and wonder whether one inbox would make that easier. If you list on Airbnb only, its scheduled quick replies are usually all you need. Not sure which case you are? The Software check tells you whether your current tools are enough before it shows any software.
What Airbnb and Vrbo already do
Both platforms let you write a message once, fill in guest and listing details automatically and send it on a schedule. From each platform's help pages, checked Nov 1, 2026:
| Airbnb | Vrbo | |
|---|---|---|
| What it's called | Scheduled quick replies | Templates |
| When it sends | Before or after events such as a new reservation, check-in or checkout | At a set time, such as the morning before check-in, or on a booking event such as confirmation or check-out |
| Details it fills in | Guest first name, check-in date and time, address, Wi-Fi name and password, checkout time and more | Personalization tags for guest and property details. Property tags draw from your Welcome Guide |
| Which homes | You choose the listings each template applies to | You choose the properties each template applies to |
| Short or last-minute stays | Optional setting to send them anyway, off by default | Optional "Always send for last-minute bookings and short stays" setting |
| Change one reservation only | Skip, edit or send early without changing the template | Not stated in the Vrbo article we checked |
Airbnb sends scheduled quick replies in the listing's time zone. If a listing field is empty, Airbnb shows that detail as unavailable, so fill in Wi-Fi and check-in details before you rely on them. On Vrbo, when you update the Welcome Guide, the property tags update too.
What one inbox adds
A property management system (PMS) pulls Airbnb and Vrbo messages into one place and can send one set of scheduled messages to guests from both. As one example, Hospitable's free Essentials plan lists a unified inbox across Airbnb, Vrbo and Booking.com, plus scheduled check-in, checkout and new reservation messages. Its advanced messaging rules are on paid plans.
Connecting one is more than a messaging change. Hospitable says that once connected it becomes your source of truth and certain Airbnb settings, such as Smart Pricing, are turned off. It also says Vrbo Partner allows only one software connection per account or listing at a time. Read what to check before connecting software before you connect anything.
When not to change your setup
- Your scheduled messages go out on time with the right details, and you rarely miss a guest reply.
- Another tool already uses your one Vrbo software connection, such as a pricing tool connected directly to Vrbo.
- You rely on Airbnb Smart Pricing and don't want a connected tool to turn it off.
- You're in a busy stretch with many upcoming stays. If you switch, do it when there are fewer reservations to check.
Signs one inbox is worth comparing
- You make the same change on both platforms and the two versions drift apart.
- A guest got an old door code or Wi-Fi password in the last month.
- You missed a guest message, or answered late, because you were watching the other app.
- Your homes have different check-in steps, and keeping them straight on two platforms takes real time every week.
Example: one home on Airbnb and Vrbo
A hypothetical host has one home on both platforms and sends four standard messages per stay: booking confirmation, check-in details, a mid-stay check and checkout steps. That is 4 templates on Airbnb and 4 on Vrbo, 8 in all. At 5 stays a month, 20 messages go out on schedule without any typing.
Then the Wi-Fi password changes. If the templates use detail tags, the host updates the Wi-Fi field on Airbnb and the Welcome Guide on Vrbo: two places. If the password was typed into each template, that is up to 8 edits. Either way it's a chore, not a reason to switch. Moving the password into tags is the first fix.
Now say the host grows to three homes with different check-in steps. The check-in template needs three versions on each platform, plus the three shared templates, so 6 per platform and 12 in all. At that point it is worth comparing the time spent keeping two platforms in step with what one inbox would take to set up and check.
Check your setup
Open the Software check, choose "Automate guest messages" and add Airbnb and Vrbo as your platforms. It gives a verdict on your current setup first and shows software only if that setup falls short.

Can I schedule guest messages on Airbnb and Vrbo without extra software?
Yes. Airbnb lets you schedule quick replies before or after events such as a new reservation, check-in or checkout. Vrbo lets you schedule templates at a set time or on a booking event. Both fill in guest and listing details automatically.
Does connecting a free unified inbox change anything besides messages?
It can. Hospitable says that on its Essentials plan it becomes your source of truth and certain Airbnb settings, such as Smart Pricing, are turned off. It also says Vrbo Partner allows only one software connection per account or listing at a time.
Why did my scheduled message send the wrong Wi-Fi password?
Scheduled messages that pull details from your listing are only as accurate as the listing. On Airbnb, update the Wi-Fi field. On Vrbo, update the Welcome Guide. If you typed the password into a template, edit that template too.
