Airbnb and Vrbo calendars: what to check before connecting software?
Short answer
Before you connect software, decide which calendar will be the source of truth, learn how long each sync can lag and write down every upcoming reservation, blocked night and price setting on Airbnb and Vrbo. Then connect one home, check both platforms against the software and keep a way back. Careful setup lowers the risk of a double booking but can't rule one out, because every sync in the help pages below has some delay.
Who this fits
This guide is for hosts with one to five homes on Airbnb and Vrbo who are about to connect a property management system (PMS) or channel manager, or who link the two calendars by iCal today and want to know what could slip. If you haven't decided whether to connect software at all, start with the Software check.
When not to change your setup
- Your Airbnb and Vrbo calendars are linked, you check both after every booking and nothing has slipped through so far.
- You can't spare an hour after connecting to check every reservation, blocked night and price. Wait for a quieter week.
- Another tool already uses your Vrbo software connection and you want to keep it. Hospitable says Vrbo Partner allows only one software connection per account or listing at a time.
1. How long each calendar takes to update
No link between calendars is instant. From the official help pages, checked Nov 1, 2026:
| Link | How often it updates |
|---|---|
| Airbnb importing another calendar by iCal | Every 3 hours. Refresh checks sooner, but Airbnb limits how often you can request updates |
| Vrbo importing another calendar by iCal | A new import can take up to 20 minutes to appear. In the Vrbo app, calendars sync every 30 minutes |
| Hospitable importing an iCal feed | Checks every 20 minutes, one way only |
| API-connected software sending to Airbnb | Airbnb says some software may have "a short delay" |
| PriceLabs sending prices to a PMS | Roughly once every 24 hours by default, per Hospitable |
In those gaps, the same nights can be open on both platforms. iCal links carry booked and blocked dates. Airbnb's calendar sync article doesn't mention prices, and Vrbo's doesn't say whether prices come across, so don't count on iCal for rates.
2. Which calendar is the source of truth
After you connect, one system should decide availability for each home. Hospitable, for example, says it "will become your source of truth" when you connect, and that it manages availability from your reservations, manual blocks and connected channel calendars.
Write down where you will block dates from then on, and stop blocking them anywhere else. List every iCal link you use today on both platforms and ask the vendor which ones should stay. Vrbo says properties managed through third-party software can't import calendars, so once software manages your Vrbo listing, that software has to carry dates from your other calendars.
3. Blocked dates and booking rules
Airbnb says nights you block on another calendar "may or may not be blocked on Airbnb," and that includes preparation time and advance notice set elsewhere. Before connecting, note on each platform:
- Every blocked night, including owner stays and repairs
- Preparation time between stays and advance notice
- Minimum and maximum stay
Check each one again after connecting. Airbnb also warns that "a rule in the software can open or block dates without you realizing it."
4. Who sets prices
On Airbnb, connected software can either sync everything or sync only pricing and availability while you edit listing content on Airbnb. Pick one before you connect.
If you use a pricing tool, only one system should send rates. Hospitable says that connecting Airbnb on its free Essentials plan turns off Airbnb Smart Pricing, and that Essentials can't connect outside pricing tools such as PriceLabs. See Can PriceLabs work with Hospitable Essentials? for the options.
Fees can change too. Airbnb says its single fee is mandatory for most hosts, including hosts who use property management software. Check your own account for the fee that applies to you.
5. Existing reservations
Write down every upcoming reservation on both platforms, with dates and confirmation codes, before you connect. Afterward, confirm each one appears in the software.
On Vrbo, connecting software means matching your software's listing IDs to your live Vrbo listings. If you're switching from other software, you also match each reservation ID from the old system to the new one. Vrbo says self-service onboarding usually finishes within 24 hours, or up to five business days with an Account Manager. Hospitable's iCal import doesn't bring in past bookings.
A safe rollout
- Export or screenshot calendars, prices, minimum stays, fees and blocked dates on both platforms.
- List every upcoming reservation with dates and confirmation codes.
- Decide which system is the source of truth for availability and which one sets prices. Turn off duplicate message schedules.
- Connect one home first, preferably the one with the fewest upcoming stays.
- Compare both platforms against the software for the next few months: reservations, blocked nights, prices and minimum stays.
- Block one far-off night in the software and confirm it shows on Airbnb and Vrbo once the sync times above have passed.
- Run it for one or two full stays before connecting the next home.
A way back
Know how you would undo it before you start. Ask the vendor how to disconnect on each platform and whether listings, prices and calendars stay as they are or reset. If calendars don't match, Airbnb says to resync availability from your software and contact the software provider. It says not to disconnect the software or delete and recreate the listing. Vrbo's help article on connecting software doesn't describe how to disconnect, so ask the vendor or Vrbo. Keep your step 1 export until everything has run cleanly for a while.
Example: one home on Airbnb and Vrbo
A hypothetical host has one home on both platforms, linked by iCal in both directions. There are 4 upcoming reservations, 2 on each platform. Pricing is Airbnb Smart Pricing, and both listings have a 2-night minimum.
- Today's gap. A Vrbo booking reaches Airbnb at Airbnb's next import, up to 3 hours later unless the host taps Refresh. That window is why they're considering software.
- Source of truth. They choose the software and agree to block dates only there from now on.
- Pricing. On Hospitable Essentials, connecting would turn Smart Pricing off. They decide beforehand whether to use the software's pricing or set rates themselves.
- Reservations and rules. After connecting, they check that all 4 reservations appear in the software and that the 2-night minimum still shows on both platforms.
- Test. They block one night six months out in the software and confirm it appears on Airbnb and Vrbo.
None of this guarantees no double booking. It makes a gap more likely to be caught before a guest finds it.
Next step
The Software check asks about your platforms and what you want help with, such as "Keep calendars in sync." It says first whether your current setup is enough and shows software only if it isn't.

Check if I need to connect softwareFrequently asked questions
How often does Airbnb update an imported Vrbo calendar?
Airbnb says imported calendars update every 3 hours. You can tap Refresh to check sooner, but Airbnb limits how often it can request updates, so a booking made on Vrbo can take time to block those nights on Airbnb.
Can connecting software prevent every double booking?
No one can promise that. Every sync described in the Airbnb, Vrbo and Hospitable help pages has some delay. Choosing one source of truth, checking blocked dates and testing one home first lowers the risk but doesn't remove it.
Should I connect all my homes at once?
No. Connect one home first, preferably the one with the fewest upcoming stays. Check both platforms against the software and run it for one or two full stays before connecting the next.
