What should a vacation rental coffee station have?

Short answer

A rental coffee station needs a brewer with auto shutoff, an electric kettle for tea, one mug per guest plus 2 spare, and coffee at about 1 pod or packet per guest per night. A 4-guest, 3-night stay uses about 12 pods; 5 stays' worth is 60. Pods are easiest for guests; a drip maker with ground coffee costs less per cup.

Coffee is the first thing many guests look for the morning after they arrive, and a missing filter or an empty pod drawer is an easy bad review. Fixing it costs little.

What goes on the station

ItemHow manyWhy
Coffee maker with auto shutoff1Auto shutoff protects you if a guest leaves it on
Electric kettle1Tea, instant coffee, oatmeal; also a backup if the brewer fails
Mugs1 per guest + 2 spare4 guests means 6 mugs, so one can break and one can sit in the dishwasher
CoffeeAbout 1 pod or packet per guest per nightOne cup per guest per day is our planning rate
Tea, sugar and creamer1 box of eachSmall, cheap, and often asked about
Filters (drip makers)1 boxThe most-missed item at a drip station

The counts come from HostCalmly's planner. Coffee uses the same planning rate as the restock list, so both agree.

Pods or drip?

  • Single-serve pods (a Keurig-type brewer). Guests know how to use them, there's nothing to measure and little to clean. They cost more per cup, and pods only fit their own machine.
  • Drip maker with ground coffee. It costs less per cup and suits a group that wants a full pot at once. Guests need filters and a scoop, and the carafe needs washing at every turnover.
  • Both. In homes for 6 or more guests, some hosts keep a drip maker for the group and a small pod brewer for early risers.

Whatever you choose, tape a 3-line "how to brew" card inside the cupboard door. The house manual has a spot for it.

Restock when you're down to 2 stays' worth. Many hosts leave a starter amount for each stay (2 to 3 days' worth) and keep the rest in a locked owner's closet.

Hypothetical example: a 4-guest condo

  • A single-serve brewer and a 1.7 L kettle
  • 6 mugs (4 guests + 2 spare)
  • 60 pods to open with, which is one box of 100 with 40 left for later stays
  • 1 box each of tea, sugar sticks and shelf-stable creamer

Frequently asked questions

Do I have to provide coffee in an Airbnb?

It isn't required, but many listings show coffee among their amenities, and guests notice when it's missing. If you list a coffee maker, stock at least a starter amount of coffee and filters.

How many coffee pods per guest?

About one per guest per night is our planning rate. A family of 4 staying 3 nights uses about 12.

What coffee maker is best for a rental?

One with auto shutoff that guests can use without instructions. Single-serve pod brewers are the simplest. See our coffee station picks for models we checked.
